A custom
operating system
for your retreat.

We build retreat centers their own software. For Airborne Arts we built AROS, the Airborne Retreat Operating System: bookings, deposits and installments, rooms, add-ons, a guest portal, and one admin dashboard. RetreatOS is that, designed and built for you.

The problem

You are running a real business on held-together parts.

Most retreat centers grow the same way. A spreadsheet for who is coming. A PayPal or Stripe link for the deposit, then a second one for the balance. A separate note somewhere for who took the private room and who added the extra massage. Email threads for everything else.

It works until it does not. Someone pays twice. A room gets promised to two people. A balance goes uncollected until the week of arrival. You spend the month before every retreat reconciling by hand instead of running the retreat.

Spreadsheetsthe registryNo source of truth, no payment link, breaks on the second editor.
PayPal & linksthe moneyDeposits and balances live apart. Reconciling is manual.
Email & DMsthe operationsRooms, add-ons, questions, and confirmations, all by hand.

The retreat is the product. The back office should not be the second job.

What your operating system does

The whole booking engine, built in.

registrations · payments
rooms · portal · admin

Registrations that hold

Every guest, every retreat, in one system of record. No duplicate rows, no lost sign-ups, no version of the spreadsheet fighting another version.

  • Multiple retreats at once
  • One record per guest
  • Live seat counts

Deposits and installments

Take a deposit to hold the spot, then collect the balance on a schedule or let guests pay over time. Real Stripe checkout, not a bare payment link.

  • Deposit then balance
  • Pay-over-time plans
  • Stripe, with receipts

Rooms and add-ons

Set your room types and how many of each exist. RetreatOS sells them down to zero, then offers the extras: private upgrades, meals, sessions, transport.

  • Room inventory that decrements
  • Priced add-ons
  • No double-booked beds

A guest portal

Each guest gets a private login to see what they booked, what they owe, and what is left to pay. Fewer status emails for you, more confidence for them.

  • Magic-link sign-in
  • Balance and schedule
  • Self-serve details

One admin dashboard

Who is coming, who has paid, which rooms are left, what is outstanding. The full picture of every retreat on one screen, updated as it happens.

  • Bookings and balances
  • Room and add-on status
  • Export when you need it

Email that sends itself

Confirmations, receipts, and reminders go out automatically the moment a payment lands. Guests hear from you on time without you writing it each time.

  • Automatic confirmations
  • Payment receipts
  • Reminders on schedule
The case study · AROS

We built Airborne Arts an entire operating system.

It is called AROS, the Airborne Retreat Operating System, and it runs the business. Not a plugin or a booking tool bolted onto a website. A custom system we designed and built for how Airborne Arts actually sells and runs retreats, and it handles the whole job.

Bookings, Stripe deposits and installment plans, room inventory, add-ons, a guest portal with magic-link login, the admin dashboard, and the mail queue. One system we built and they run the business on. AROS · built for Airborne Arts · airbornearts.com
  • 01Bookings held in one system of record, no spreadsheets
  • 02Live Stripe checkout for deposits, balances, and installment plans
  • 03Room inventory and priced add-ons that sell down without double-booking
  • 04Guest portal with magic-link login, plus the AROS admin dashboard
  • 05A mail queue that sends confirmations, receipts, and reminders on its own

RetreatOS means we do the same for you: design and build a bespoke operating system for your center, the way we built AROS.

How it works

Live in three steps.

setup handled
with you, not by you
1

We learn how you run retreats

Your programs, dates, room types, prices, add-ons, and how you take payment. We map the way your business actually works so the system we build fits it, rather than forcing you into someone else's template.

2

We design and build your system

We build your operating system the way we built AROS: a booking flow in your brand, deposit and installment rules that match how you sell, your own Stripe, a guest portal, an admin dashboard, and a mail queue wired to send on its own.

3

You run it from one screen

Sign-ups, payments, rooms, and balances flow into a single dashboard. Guests self-serve from their portal. You spend the month before a retreat on the retreat, not on reconciliation.

Start the conversation

Built for you, not for a plan tier.

Every center runs retreats a little differently, so we build each system to fit. That starts with a conversation, not a checkout.

Questions

Straight answers.

Is this a template, or a custom build?
A custom build. We built Airborne Arts their own operating system, AROS, for how their business actually runs: bookings, Stripe deposits and installments, rooms, add-ons, a guest portal with magic-link login, an admin dashboard, and a mail queue. RetreatOS means we design and build a bespoke system like that for your center, not a template you squeeze into.
Whose Stripe account does the money go to?
Yours. Payments run through your own Stripe account, so deposits, balances, and installments land where they should. We connect it during setup. There is no per-booking commission.
Can it handle deposits and paying over time?
Yes. Take a deposit to hold the spot, collect the balance on a date, or let guests pay in installments. The rules are set to match how you already sell your retreats.
Does it manage rooms and add-ons?
Yes. You set your room types and how many exist, and RetreatOS sells them down to zero so nothing gets double-booked. Add-ons like private upgrades, meals, sessions, or transport are priced and sold in the same flow.
What do guests see?
A booking flow that matches your brand, and a private portal where they can sign in to see what they booked, what they owe, and what is left to pay. Confirmations and receipts reach them automatically.
How long does setup take?
It depends on how many retreats and room types you run and how your payments are structured. We scope it precisely on the call so you know the timeline before you commit to anything.
How much does a build like this take on?
Because each system is built to fit one center, scope follows your retreats, rooms, and how you take payment. We work that out with you on the call once we have seen how you operate, and walk you through AROS on a live system so you know exactly what you would be getting.
Who builds and supports it?
WizardWeb, a Canadian web studio, designs, builds, and hosts your system and every center's. AROS is our work for Airborne Arts. You get one team that owns the whole system rather than a plugin stack you maintain yourself.
